About the Role:
Our client, a well-established company within the financial services sector, is seeking a Trainee Client Support Administrator to join their growing team. This is an exciting opportunity for someone with at least one year of experience within the financial services industry, whether from a provider or Independent Financial Adviser (IFA) background with a progression focused mindset. The successful candidate will provide crucial administrative support to the existing team and will have a clear, structured progression path within the business.
Key Responsibilities:
Initial responsibilities include:
- Scheduling client appointments
- Opening and franking mail, scanning relevant documents to client files, and updating the back office system
- Typing up Client Factfinds
- Updating the pending work list daily
- Ensuring accurate and up-to-date client data on the back office system
- Answering the phone, greeting visitors, and offering refreshments for office and client meetings
- Communicating with clients and providers via phone and email
- Ensuring client files are compliant with FCA and company guidelines
- Preparing general correspondence, letters, and emails
- Undertaking general administrative duties such as photocopying and filing
Further responsibilities after training include:
- Sending Letters of Authority to life companies and following up
- Issuing policy documentation and processing withdrawal/surrender requests
- Obtaining values for client reviews and preparing valuation reports
- Conducting research as required
- Processing and chasing new business (both paper-based and online)
- Processing fund switches, rebalances, and preparing reports from templates
Key Requirements:
- At least one year of experience within a financial services role (from providers or IFAs)
- Proficiency in Microsoft Word, Excel, Outlook, and Internet Explorer
- Experience with Intelligent Office, platforms, and provider websites is desirable but not essential
- Excellent interpersonal and communication skills
- Ability to work under pressure, meet deadlines, and manage a varied workload
- A keen eye for detail and accuracy
- Ability to work both independently and as part of a team
