The Client:

Position Overview: 

To manage the overall administration function through development of team resources and delivery of fit for purpose, compliant procedures, to ensure provision of high-quality Administration Services to advisers and support the effective mitigation of business risk. To oversee all aspects of the daily operations of the remote office.

Responsibilities:

  • Take responsibility for the overall management of the Administration Support Team, ensuring a standardised approach is followed for all processes
  • Work with Head Office to ensure all departmental standards and goals are met
  • Oversight of the maintenance of all administration systems, ensuring that all team members maintain accurate and up to date client information, providing help and guidance to all team members
  • Develop a culture of getting work right first time by implementing a flexible audit process to identify and resolve areas of concern.
  • Monitoring of departmental MI, ensuring that all workflow is completed in line with company SLA’s
  • Work with the Administration Manager and other key stakeholders within the organisation to identify any process improvements required to improve standards and efficiencies with the way the remote office operates with Head Office
  • Promote and encourage a positive work environment and attitude amongst team members and advisers, ensuring co-operation, efficiency and outstanding service is always delivered

  • Carry out appraisals and set SMART objectives for direct reports, ensuring any training requirements/development needs are set to achieve business requirements whilst also ensuring their personal development and competency within their roles
  • To ensure the office facilities are maintained and liaise with head office to communicate any facilities/IT issues or requirements
  • To be an escalation point for queries as necessary
  • Identify and implement plans for own training and development needs.
  • Motivate the team through positive feedback when good feedback is received
  • Any other reasonable request made by a Departmental Head/Chief Executive of the business

Requirements:

  • Ideally 3 years’ experience within a similar role
  • Must have a keen eye for accuracy and attention to detail
  • Effective organisational and planning skills, with the ability to work to deadlines
  • Experienced using Microsoft Word and Excel
  • Delivery focused, with a drive for quality throughout
  • Excellent interpersonal and communication skills
  • Willing to learn and develop
  • Able to work as part of a team, or if required, under own initiative
  • Previous experience of coaching and supporting team members
  • Skilled at giving and receiving feedback
